How to Choose the Right Exhibition Stand Size for Your Budget and Goals

One of the first questions we get from a business planning its first trade show is a simple one: how big should our stand be? The honest answer is that size should follow your goals and budget, not the other way around. Here’s how to think it through.

Start With What You Need the Stand to Do

A stand built to generate leads through quick conversations needs open sightlines and welcoming entry points, not a large enclosed meeting area. A stand built around private client meetings needs the opposite — enclosed space, seating, and a degree of privacy from the aisle. Before you think about square metres, get clear on what visitors will actually be doing at your stand.

Match Space to Activity, Not Ambition

It’s tempting to take the largest space the budget allows, but an oversized stand with too few staff or too little activity can feel emptier than a smaller, well-used one. A useful exercise is to sketch, even roughly, how many staff, meeting points, product displays, and visitor flow paths your stand needs — then size the footprint around that, with some breathing room rather than a fixed target.

Factor In What’s Around the Structure

Storage, a small pantry or refreshment point, and back-of-house space for staff to regroup all take up real footprint but are easy to forget when you’re picturing the finished stand. Building these into the plan early avoids a last-minute scramble to squeeze them into a space that’s already been designed.

Let Budget Set the Ceiling, Not the Design

A clear budget from the outset lets a designer make good trade-offs — for example, a smaller footprint with a stronger visual impact often outperforms a larger stand built to a lower finish. Share your budget honestly early in the process; it leads to a better outcome than a design that gets scaled back at the last minute.
